About Eshmere.ai Kenya

Tender intelligence and bid-readiness support.

Eshmere.ai Kenya is the procurement and tender-intelligence side of Eshmere. It helps Kenyan SMEs, AGPO-ready suppliers, NGOs and consultants understand tender opportunities, assess readiness and prepare human-reviewed next steps.

Eshmere does not currently provide a public file-upload portal, live account system, payment checkout, database-backed client portal or automated AI decision engine.

Draft status

This is a plain-English operational draft. It should be reviewed before production use with real client documents, sensitive AGPO-related material, tax evidence, financial records or live AI integrations.

Service delivery

If a client chooses a service, Eshmere may ask for the minimum information needed to review the opportunity, prepare a report or support a bid-readiness workflow.

  • Supplier profile details, sectors, regions, registrations and certifications.
  • AGPO-related status or document notes where relevant to a Kenya procurement workflow.
  • Bid-readiness evidence, compliance notes, risk flags and service recommendations.
Documents

Do not send documents unless requested.

Please do not send tax records, financial evidence, disability-related evidence, identity documents, staff records or full bid documents through the initial enquiry. Eshmere will review the enquiry first and explain what is needed if the request is suitable.

Tools and safeguards

Operational tools need human review.

Microsoft 365-style tools

Eshmere may use Microsoft 365-style internal workflow tools to manage operations where configured and reviewed. These tools should be used with restricted access and minimum necessary records.

AI-assist workflows

AI assistance, where used, supports first-pass drafting and analysis. It should not be treated as an automated decision. Human review is required before customer outputs are delivered.

Website routing

Intake requests may be routed from the website to an internal operations workflow. If routing is not configured, the form asks visitors to use a fallback contact route.

Collection rules

How Eshmere should limit data.

  • Minimum necessary: Collect only the details needed to qualify the request or deliver the scoped service.
  • No unsolicited sensitive documents: Do not ask users to send tax, disability, financial or identity evidence through the initial enquiry.
  • Public link first: Use public tender links or references before requesting a full tender pack.
  • Human review before delivery: AI-assisted outputs and Microsoft Lists recommendations need human QA before client-facing use.
AI and document caution
  • Classify documents: Classify public tender, business, personal, sensitive, tax, financial, AGPO and bid evidence separately.
  • No list-based document vault: Microsoft Lists should track status and summaries, not store full sensitive documents.
  • Redact before prompting: Remove direct contact details, IDs, signatures, financial account details and sensitive evidence.
  • Do not infer protected characteristics: Do not infer AGPO target-group status, disability status or other protected characteristics.
Your choices

Rights and contact placeholders.

Final rights, complaints and regulator wording must be confirmed during formal review. As a practical starting point, you may contact Eshmere about a privacy question using the general website contact route.

  • Ask what data Eshmere holds about you.
  • Ask Eshmere to correct inaccurate information.
  • Ask Eshmere to delete information where it is no longer needed, subject to legal or operational reasons.
  • Raise a concern about how your information is handled.

Before production use

  • Before file upload: Approve storage, permissions, malware scanning, retention, deletion and privacy wording.
  • Before live AI: Complete vendor review, DPA checks, transfer review, redaction rules and DPIA-lite review.
  • Before Microsoft automation: Approve list access roles, flow history visibility, test data rules and failure handling.
  • Before production client data: Confirm lawful basis, privacy notice, ODPC/ICO position, vendor register and incident process.
